Office Relocation: The Move-In Date Is Approaching So Start Your Engines

By Alejo Tenutta

There are dozens of matters that need to be attended to for your office relocation before you can wipe your brow and pat yourself on the back. After all, you have to be sure that the process goes as smooth as possible, so that you avoid any production loss or better yet, stress. Now, after important decisions like choosing your project manager, estimating costs, and comparing office spaces, there are some crucial steps left to be made. These responsibilities should be taken care of at around nine months out.
Okay, while at this point you should have a few relatively rough sketches of your office space, it is time to design a schematic layout. This drawing will include everything contained within the previous sketches, such as the location of specific departments and project teams, but with many more details. In fact, your latest layout plan should include plumbing, outlets, and other miscellaneous particulars. Starting the process of finalizing your drawings is vital, because you will have to know where everything needs to be situated. Everything from fax machines, telephone jacks, and so on should be part of your drawing.
The next yet just as important step will be to finalize any lease agreements. Matters such as these are good to handle early in the relocation, because it is not uncommon for arguments to arise. Part of finalizing any agreement is clarifying any tenant specifications. Don't wait in order to do this! Last minute disagreements or conflicts can result in enormous setbacks regarding your timetable, as well as negate any of your prior work. Also, be certain that everything is kept in writing and properly filed, so that both you and your project manager are aware of everything that is going on.
Your final step will be to continue any adjustments to your working budget. While your financial plan is still tentative, it should be in the process of being finalized. That means you should start eliminating excessive costs and other unneeded expenses. From here on out, try to stick to the budget that you have, in order to avoid mishandling or mismanaging any funds. Doing so will help alleviate much of your stress.
Remember, sticking to your timetable is a must; otherwise, you may run into serious problems. Once everything starts falling in place, you can start comparing other costs, like hiring professional movers. Be smart and efficient with your time and you will avoid the headaches normally associated with having to relocate.
